GLOBAL CONNECT by SB (Pvt) Ltd.

Your staff guide.

Open https://crm.gcbysb.com in a browser on your laptop, desktop or phone after the owner completes hosting. All devices use the same database. Every employee must use their own account.

First login

  1. The owner creates your account under Team access and gives you your email and temporary password privately.
  2. Sign in. On the hosted service, set up an authenticator app when prompted. Scan the QR code in an app such as Microsoft Authenticator or Google Authenticator, then enter its six-digit code. Keep the setup key private.
  3. Change your temporary password to a private passphrase of at least 14 characters. Sign in again with the new password and your authenticator code.
  4. Sessions last at most one hour. Sign out when finished, especially on a shared device. Unsaved forms are not retained after sign-out or expiry.

When a client calls

  1. Search by name, international phone number, email or enquiry reference. Check whether this is the same person; family members can share contact details.
  2. For an existing enquiry, open it and use Add a conversation or update. For a different enquiry from the same person, use New enquiry for this client.
  3. For a new caller, choose Record a new enquiry. Record their full name, phone/email, city, country, address, source, goal, programme and conversation summary. Use international numbers such as +923001234567.
  4. Ask how they found the company: ad, referral, website or another source. Do not guess. Schedule a follow-up and write a specific action.
  5. Ask separately about promotional email and WhatsApp preferences using the wording shown. “Not asked” is the default. A verbal agreement is recorded as verbal, not verified consent. No campaigns are sent from this version.
  6. Save once. If the connection fails, retry the unchanged form. The request identifier prevents a duplicate save. If a possible duplicate is flagged, search before confirming that it is a different person.

Follow-ups and history

Due follow-ups shows enquiries with a pending follow-up whose scheduled time has passed. Open the enquiry, record the outcome, select the follow-up to complete and optionally schedule another. Time is stored consistently and displayed in your device's timezone.

Status choices: new, assigned, contacted, consultation scheduled, assessment, onboarded and closed. Closing requires a reason and cancels pending follow-ups. A manager or owner can assign the enquiry; pending follow-ups transfer with it. Previously recorded conversations remain in history. Use Older/Newer to browse history in batches of 50.

If another person saves first, you will see a conflict message. Copy any unsaved note you need, select Reload record, review the latest information, then re-enter and save your update. The system will not silently overwrite the other person's change.

Correct a name, phone or address

Use Correct contact details inside an enquiry. It updates that person's shared contact record. Previous phone/email entries are retired, not deleted. Permission to contact an old destination is not automatically granted to a new one. Record a new preference when appropriate.

Owner: manage staff

Use Team access to add staff with a unique email and temporary passphrase. No invitation email is sent: deliver credentials privately. Choose an existing branch and the minimum role needed. Changing access revokes that person's current CRM sessions. Before disabling a person or changing their branch, reassign their open enquiries; access changes do not automatically reassign their workload. Owner accounts cannot be modified from this screen.

Additional branches are provisioned by the database administrator, not by attendants. Keep at least one verified owner account. Never share the Supabase service key with staff.

Reports

Dashboard totals cover all records your account is allowed to access, independently of the search filter. “Open” means every status except closed, including onboarded. “Due” counts enquiries with at least one overdue or currently due follow-up, not the number of follow-up tasks. Owners and managers can download the current status totals as CSV. This is not a client-data export or a historical performance report.

Lost password or authenticator

Contact the owner using an established company channel. The owner verifies your identity before arranging recovery through the Supabase Auth administration workflow. Self-service recovery email is not configured in this release. The hosting/database administrator must revoke existing CRM sessions after an administrative password or MFA reset. Do not send passwords, QR codes or authentication codes in support messages.

What is included now

Staff calls, contact records, searchable enquiries, conversation history, follow-ups, assignments, staff access and current status totals. Website brief submission, eligibility intake, promotional email, WhatsApp delivery, automatic reminder notifications, document storage, billing and client portals are not active in this release. Follow-ups appear in the dashboard; they do not send reminders.
